Compliance & Policies

Our approach to export documentation, confidentiality and commercial conduct.

Policy Areas

Areas covered by our internal commercial and documentation policies.

  • 01

    Export Documentation

Consignments are despatched with the commercial documentation the route requires, including invoice, packing list, tariff classification per line and, where applicable, certificate of origin and export declaration. Export control and end-user requirements are checked before despatch.

  • 02

    Confidentiality

Client specifications, deployment detail and pricing are treated as confidential and shared only with the suppliers and carriers who need them to complete the engagement. We do not disclose client information for any other party purposes.

  • 03

    Data Handling

Personal information is handled under our Privacy Policy. Storage media should be sanitised before equipment is returned to us, and where a device arrives still holding data it is isolated and the client is contacted before anything further is done with it.

  • 04

    Commercial Conduct

Quotations state what is included and what is not. Substitutions are proposed rather than made silently, cancellation charges are based on cost actually committed, and we do not make claims about certification, partnership or manufacturer relationships that we cannot support.

  • 05

    Record Keeping

Orders, verification records, serial numbers, invoices and export documentation are retained for the periods required by Canadian tax, accounting and export control regulation, so that a past engagement can be reconstructed if it needs to be.

  • 06

    Third-Party Engagement

Suppliers, distributors, freight forwarders and customs brokers are engaged under our own commercial terms, and are given only the information required to perform their part of the engagement.

Standards

How These Apply in Practice

Only Claims We Can Support

We describe what we actually do rather than what reads well. We make no claim about certification, partnership, authorised reseller status or manufacturer relationships that we cannot evidence.

Shared on a Need to Know Basis

Client information reaches a supplier, carrier or broker only where that party needs it to perform their part of the engagement, and only to that extent.

Decisions Recorded at the Time

Substitutions, delays and cost changes are put in writing when they happen, rather than reconstructed from memory when a question is asked later.

Records That Outlast the Order

Order, verification and export documentation is retained for the periods required by Canadian tax, accounting and export control regulation.

Ask Before You Commit

If your procurement process requires specific documentation, retention terms or compliance evidence, raise it at the quotation stage and we will confirm what we can provide.
